SiftHub's Autofill works best when you use it directly where you work — in Google Sheets, Google Docs, Excel, or Word via the Browser Extension or MS Add-in. The Autofill page in the Web App provides an additional way to autofill questionnaires, particularly useful when you want to upload a file directly without working in the source document, or when the Browser Extension is not available. It also serves as a centralized view of all your autofill activities across every surface.
Accessing the Autofill Page
Log in to the SiftHub Web App and select Autofill from the left navigation menu.
The page has two sections:
- Left panel — your activity list, showing all past and in-progress autofill runs across every surface
- Right panel — the active view, showing either a new autofill setup, a completed table view, or an activity summary
Starting a New Autofill
Click + New in the top left, or use the upload/link area that appears in the right panel when no activity is selected.
You have two options:
Upload a file — drag and drop or click "Browse files" to upload a .docx, .xlsx, or .csv file from your computer. SiftHub will process the file entirely within the Web App.
Paste a Google Sheets or Google Docs link — paste the URL of a Google Sheet or Google Doc. What happens next depends on whether you have the SiftHub Browser Extension installed.
Note: Microsoft Excel and Word files can be uploaded directly, but pasting MS file links is not supported. To work directly in Excel or Word, use the MS Add-in.
Configuration
Whether you upload a file or paste a link, you configure the following before autofill begins:
Sources — click to open the Source Filters panel and select which connected sources and collections SiftHub should use to generate answers.
Answer Settings — click to set the generation mode, response language, length, and any additional instructions.
Click Continue to proceed.
For spreadsheets, SiftHub presents an Answer Column Configuration screen. SiftHub auto-detects the most suitable answer column(s) for each tab. Click "Edit configuration" to review or adjust:
- Select or modify the answer column per tab (A-Z)
- Set the answer type: Text (descriptive AI-generated response) or Dropdown (automatically selects from existing dropdown options in the cell)
- Add a secondary answer column if needed (up to 2 per tab)
- To skip autofilling a specific tab, delete its answer column(s)
Click Continue to start autofill.
What Happens Next
SiftHub intelligently parses the entire primary document and identifies the sections and questions across all tabs (for spreadsheets) or the first tab (for documents).
If you uploaded a file
SiftHub analyzes the document and begins generating answers in the Web App table view (see below).
If you pasted a Google Sheets or Docs link and have the Browser Extension installed
After configuration, SiftHub opens your Google Sheet or Google Doc with the Browser Extension launched. Autofill runs directly in the document — populating answers in the configured columns (for Sheets) or below each question (for Docs). Review and edit answers directly in the document using the Browser Extension. The completed activity is logged in the Autofill page.
If you pasted a Google Sheets or Docs link and do not have the Browser Extension installed
SiftHub will prompt you to install the Browser Extension.
- If you install it — autofill proceeds directly in your Google Sheet or Doc as described above.
- If you skip — SiftHub downloads the content and processes it as an upload. The Web App table view opens and autofill runs there instead.
The Table View
For uploaded files (and for Google Sheets/Docs links where the Browser Extension was not used), autofill results open in the table view. This is the primary workspace for reviewing and editing your autofilled answers.
Table Structure
- Section rows — shown in bold, collapsible using the expand/collapse arrow
- Question rows — listed beneath each section, showing the question text and autofilled response(s)
- Answer columns — reflect the answer column configuration set before autofill. If multiple answer columns were configured (e.g. "Meet Criteria (Yes/No)" and "Vendor Responses"), both appear side by side in the table
Answer Labels
Each answer row may display one of the following labels:
- Autofilled response — answer was generated by SiftHub autofill
- Last updated by [user] — answer was manually updated
- Partial answer — SiftHub found incomplete information; the answer may need review or supplementation
- No information found — SiftHub could not find an answer; an option to add an answer or Ask AI Teammate is shown
Top Bar
- Export — downloads the completed document in its original format (.xlsx, .docx, or .csv)
- Three-dot menu — additional actions including full document re-autofill
Document Tabs
The tab bar at the bottom shows all sheets/tabs in the document (e.g. General, Infosec, Instructions). Click any tab to switch between sheets.
Navigating and Finding Questions
Search
Use the search bar in the toolbar to find specific questions by keyword.
Filter
Click the filter icon to filter questions by:
- Answer coverage — Answered, No information, or Partial
- Due date — filter by upcoming or overdue dates
Working with Individual Questions
Click any question row to open the Question Details Panel on the right side of the screen.
Question Details Panel
The panel shows:
- Question text at the top
- "Additional info" link — shows additional context extracted from neighbouring cells or surrounding content in the document, useful for understanding the full scope of the question
- Answer section — with the column label (e.g. "Column B") showing which column this answer maps to
- Answer text area — directly editable; make changes and click Save to update
- "Autofilled response" label with an info icon
- Alternate answers button — shows the number of alternate answers available (e.g. "Alternate answers (4)")
- Refine button — options to adjust the current answer
- Thumbs up / Thumbs down — provide feedback on the AI-generated answer
- Two tabs: AI Answer details, History
- Navigation arrows (< >) — move to the previous or next question without closing the panel
Editing an Answer
Click directly in the answer text area to edit. When editing is active, Cancel and Save buttons appear. Click Save to confirm changes.
Refining Answers
Click the Refine button to adjust the current answer. Options include:
- Ask AI Teammate — opens the AI Teammate panel for conversational refinement (see below)
- Length — submenu to adjust answer length
- Tone — submenu with options such as Simpler, Persuasive, Professional
- Industry — submenu to tailor the answer for a specific industry
Ask AI Teammate
Selecting Ask AI Teammate opens the AI Teammate panel on the left side of the screen, with the question details panel remaining on the right. The question is automatically sent as a prompt.
AI Teammate uses deeper reasoning and conversational capabilities to generate an alternative answer. Once generated:
- Review the answer in the left panel
- Click Replace to replace the current answer with the AI Teammate response
- Use the Ask follow up field to continue refining conversationally
- Icons at the bottom allow you to switch between sources, search, and web context
Alternate Answers
Click Alternate answers (N) in the question details panel to open the Alternate Answers panel on the left. This shows other answer options SiftHub found during autofill, beyond the one it populated.
The panel has two tabs:
AI Answers Tab
- Lists additional AI-generated answers (e.g. "Generated answer 1", "Generated answer 2")
- Each answer is expandable and shows the full text, sources used, and thumbs up/down feedback
- Click Replace to replace the current answer with the selected alternate
Matched Q&As Tab
- Shows Q&As matched from your SiftHub repository relevant to this question
- If none are found, shows "No matched Q&As"
- Click Replace to apply a matched Q&A answer
AI Answer Details
The AI Answer details tab shows transparency information about how the answer was generated:
Sources:
- Lists the source file(s) used to generate the answer
- Shows contributor name, date, and source type for each source
Generation settings:
- Instructions used (if any instruction prompts were applied)
- Answer language (e.g. English US)
- Length setting (e.g. Focused)
- Source types used (shown as tags — Documents, Q&A Repository, Google Drive, Slack, etc.)
- Collections used (if configured)
History
Every question maintains a full activity log in the History tab. History entries include:
- SiftHub auto-detected this as a question — logged when the document is first processed
- SiftHub autofilled a response — logged when autofill populates an answer
- [User] updated the response — logged when an answer is edited, with a Compare changes button
Compare Changes
Clicking Compare changes opens a side-by-side diff modal:
- Left side — the previous version, with author and timestamp
- Right side — the updated version, with author and timestamp
- All answer columns shown so you can see changes across every column at once
- Red text = content removed, Green text = content added
- Hide changes toggle — switches to clean text view
History entries are read-only and cannot be edited or deleted.
Bulk Autofill
Select multiple questions and/or sections using the checkboxes on the left. Click Autofill in the toolbar to re-run autofill on the selection. A modal appears with:
- Selected — count of selected sections and questions
- Additional instructions — optional free-text field for formatting or content instructions (e.g. "Generate answers in bullet point format")
- Sources button — configure source filters for this run
- Settings gear icon — configure generation settings (language, mode, length)
- Autofill button — runs autofill on the selection
Exporting the Document
Click the Export button in the top right to download the completed document in its original format (.xlsx, .docx, or .csv) with all answers populated in the correct columns.
Viewing Past Activities
All autofill runs from any surface appear in the left panel, listed chronologically. Each activity card shows the document name, answered count, no information count, status (Completed, In progress, or Cancelled), and timestamp.
Click any activity to open it in the right panel:
