Auto-assignment lets admins decide, once and at the account level, who receives each question by category — so a new Project routes its questions to the right people instead of everything landing with the Delivery Manager to be handed out by hand.
When a Project is created with auto-assignment on, SiftHub assigns each question using the rules configured here.
Note: Only Admins and Account Owners can configure auto-assignment. The rules apply account-wide.
Opening Auto-assignment
- Go to Settings in the left navigation.
- Under Projects, click Auto-assignment.
The category table
The page lists one row per question category, with the current assignment for each:
- Question Categories — nine fixed categories (Company Overview, Business & Commercial, Product Capabilities, Technical & Infrastructure, Security & Compliance, Privacy & Data Protection, AI & Machine Learning, Analytics & Reporting, Implementation & Support) plus Other, for questions that do not map to any of them.
- Content request — who receives a question in this category while it is unanswered or only partly answered.
- Content review — who receives it once it is fully answered.
- Actions — Edit opens the rule for that category.
Every category starts assigned to the Delivery Manager for both columns. Other is a normal row — you can point it at a specific person or team like any other category.
Editing a category
Click Edit on any row to open the Auto assign window.
- Question category — shown for reference; it cannot be changed here.
- Content request — choose who should receive questions in this category while they are unanswered or partly answered.
- Add as project collaborator — adds that assignee to the project as a collaborator when the assignment is made.
- Content review — the same, for questions that come back fully answered.
- Click Save, or Cancel to discard.
Each dropdown is searchable and groups the options:
- Project — Delivery Manager, Project Owner, Guest user
- Teams — any team configured under Settings > Teams
- Users — individual platform users
The two Add as project collaborator checkboxes are independent — you can enable it for Content request without enabling it for Content review, or the other way round.
Note: Guest user assignment works through the existing guest invite and does not support the Add as project collaborator option.
How the role is decided
Which of the two assignees a question goes to depends on its answer state after autofill runs. There is no confidence threshold — the mapping is fixed.

Turning it on for a project
Auto-assignment runs per project, controlled by the Auto-assign questions to relevant stakeholders checkbox on the Create Project form. It is unchecked by default, so someone has to opt in on each project. The Auto-assignment rules link beside it opens this settings page.
Assignment runs once the project is created. If autofill runs, assignment happens after it finishes so every question’s answer state is known. If autofill is not run, every question is treated as unanswered and routed as a content request.
Things to know
- Questions only. Sections are not auto-assigned and continue to go to the Delivery Manager.
- Account-wide. There is no per-project or per-RFP-type override of the category rules.
- Nothing is left unassigned. Any category you have not edited falls back to the Delivery Manager, including questions tagged Other.
- You can always reassign by hand, exactly as with any manually assigned question.
