Most SOWs get written under time pressure, after the deal is already verbally closed, by whoever has the most context and the least availability. SiftHub's AI Teammate removes that scramble by drafting the Statement of Work automatically as the deal reaches closing, so a complete draft is waiting before anyone has to ask for one.
This is the proactive counterpart to the manual Draft Statement of Work intent. Where that intent generates a SOW on demand for a deal you name, this workflow watches your connected sources and generates one on its own when the deal is ready.
Proactive Automation: How it Works
The AI Teammate monitors your data streams for signals that a deal is approaching SOW readiness, then assembles the draft from your CRM record and call history and delivers it via Email and Slack.
- The Trigger Hierarchy: Structured CRM data establishes when a deal has formally reached closing. Unstructured signals from call recordings catch the commercial commitment even when the CRM hasn't caught up.
- Security & Redaction: Sensitive PII (such as SSNs or card details) is automatically redacted while business-critical contact information is retained.
- Transaction Management: Proactive SOW generation consumes transactions dynamically based on the volume of related call transcripts and connected sources analysed.
Identifying the Trigger
The AI Teammate adapts its logic based on your connected sources:
- Call Recording Only: Probabilistic. Every call transcript is scanned for signals that the conversation is turning to scope, terms and paperwork, such as redlines, procurement, signature logistics or contract structure. Fires when those signals are present.
- CRM Only: Definitive. Fires when an Opportunity (Salesforce) or Deal (HubSpot) reaches one of the stages configured for your account as SOW-ready.
- The Gold Standard: Hybrid. Both checks run in parallel, giving you a dependable CRM floor plus the ability to catch a deal the moment it's verbally settled.
Note on duplicates: With both sources connected, the two checks can identify the same deal. They will not produce two SOWs. Existing spam controls collapse them into a single draft.
Predictable Timing with Deal Stages
Getting the timing right matters more for a SOW than for almost any other workflow. Generate too early and the draft is missing the modules, line items and commercial terms that make it useful. Too late and it isn't saving anyone time.
The CRM trigger fires on deal stage, which you control:
- You nominate the stages. The draft is generated when the deal reaches one of them, no earlier.
- Several stages can qualify. If more than one stage in your pipeline represents SOW readiness, all of them can be set as triggers.
- Stage, not probability. Earlier versions of this workflow fired on probability of close. Because several stages often share a probability, that meant the draft could arrive at the start of a band rather than at the point your team actually finalises scope. Existing accounts have been moved to the equivalent stages automatically.
Using Custom Deal Stages
Out of the box, we work with the standard Salesforce Opportunity stages and standard HubSpot Deal stages.
If your team has renamed these or added stages of its own, such as "Verbal Commit", "Legal Review" or "Contracting", those are fully supported, but we need to know which ones should trigger the SOW.

Pro Tip: Nominate the stage at which your reps have finished populating products and line items on the deal record, rather than the first stage that signals the deal will close. The draft is only as complete as the record it's built from.
Expert Tips for the Best Experience
- Connect both sources. A deal is often commercially settled on a call days before the CRM reflects it. With call recordings connected, the draft arrives on the earlier of the two signals.
- Keep the deal record current. Products, line items and close dates flow straight into the draft. A deal that reaches the trigger stage with an empty product list produces a thinner SOW.
- Treat it as a first draft. The generated document covers Engagement Summary, Deliverables, In-Scope and Out-of-Scope activities, Timeline and Risks. Legal review still applies.
- Regenerate after material changes. If scope shifts after the draft is generated, use the manual Draft Statement of Work intent in the Web App to produce a refreshed version from current data.
