The Tasks tab in a SiftHub Project provides a unified view of all work associated with the project - from project-level coordination tasks to document-level content assignments. It gives Delivery Managers and collaborators full visibility into what needs to be done, who owns it, and what's overdue.
Types of Tasks
There are two categories of tasks:
Project-Level Tasks
These are tasks that relate to the overall project coordination and are created manually or from AI Suggestions. There are three types:
- General - for any project-level work that doesn't fall into a specific category (e.g., internal alignment meetings, competitor research, stakeholder updates)
- Milestone - for key project milestones and deliverables (e.g., completing the primary questionnaire, internal sign-off)
- Document Submission - for tracking documents that need to be gathered and submitted as part of the project package (e.g., certifications, compliance reports, architecture diagrams)
Content Tasks (Auto-created)
These tasks are automatically created by SiftHub as part of the document collaboration workflow:
- Content Request - created when a question or section is assigned to a collaborator, non-collaborator, or guest for input
- Content Review - created when a question or section is submitted to a reviewer for approval
Content tasks are automatically completed by the system when the assignee marks the content as updated or when the reviewer approves or rejects. Clicking a content task in the Tasks tab takes you directly to the relevant question or section in the primary document outline - there is no separate task detail panel for these.
The Tasks Table
The Tasks tab displays all tasks in a table with the following columns:
- Task - task name, clickable to open the task detail panel (for project-level tasks) or navigate to the question/section (for content tasks)
- Type - badge showing the task type (General, Milestone, Document Submission, Content request, Content review)
- Assignee - the user assigned to the task
- Due date - the task deadline; overdue tasks are highlighted
- Status - In progress or Completed
- Priority - Urgent, High, Medium, or Low
- Documents - a count of files and links attached to the task
Filtering and Search
Use the Search bar to find tasks by name. Use the Filter icon to filter by:
- Type - Content request, Content review, General, Document Submission, Milestone
- Due date - filter by upcoming or overdue dates
- Status - In progress or Completed
- Priority - Urgent, High, Medium, Low
Tasks can be sorted by Due date, Priority, or Assignee by clicking the column headers.
Overdue Tasks
A task is marked as overdue when its due date has passed and its status is still In progress.
Creating a Task
Click the Create Task button in the top right of the Tasks tab to open the task creation form.
Fields
- Task name (required) - a clear, descriptive name for the task
- Description (optional) - additional context, acceptance criteria, or notes
- Type (required) - select General, Milestone, or Document Submission
- Assignee (required) - select from the project's Owner, Delivery Manager, or Collaborators
- Due date (required) - the deadline for this task
- Priority (required, defaults to Medium) - Urgent, High, Medium, or Low
Click Create to save the task. It will appear in the Tasks table respecting the current filter and sort settings.
Note: Tasks can also be created automatically when AI Suggestions are accepted at project creation or from the Suggestions panel. See AI Suggestions for more details.
Task Detail Panel
Clicking a project-level task (General, Milestone, or Document Submission) opens the task detail panel.
Task name and description - shown at the top of the panel.
Documents - attach files or links to the task:
- Drag and drop files, or click Browse files to upload
- Supported formats: .txt, .pdf, .docx, .xlsx, .csv
- Maximum 20 files, up to 1GB per file
- Or paste a document link and click Add
Documents attached to a task are also stored in the Project Documents tab as task attachments. They can optionally be included in the Submission Package - click the green submission package icon next to any document to toggle its inclusion. Hover over the icon to see the tooltip "Remove from submission package."
Comments and History tabs:
- Comments - add comments and @mention project members. Mentioned users receive email and Slack notifications (if configured).
- History - a chronological log of all changes to the task: status changes, assignee changes, due date edits, attachment additions/removals, and more.
Other Task fields
- Status - dropdown to update between In progress and Completed
- Type - the task type (General, Milestone, or Document Submission)
- Priority - dropdown to update priority
- Assignee - the user assigned to the task
- Assigned by - the user who created or assigned the task
- Due date - the task deadline
- Created by - the user who created the task
- Created on - the date the task was created
Deleting a Task
Click the delete icon in the top right of the task detail panel to delete the task. A confirmation prompt will appear before deletion.
Assigning Tasks
Tasks can only be assigned to users who are already part of the project - the Project Owner, Delivery Manager, or Collaborators. Assigning tasks to external users or guests is not supported for project-level tasks.
Notifications
When a task is assigned or reassigned, the assignee is notified. When a user is @mentioned in a task comment, they receive a notification. Notification delivery (email, Slack, or in-app) is configurable. Contact your SiftHub Customer Success Manager to configure task notifications for your workspace.
Viewing Tasks on the Overview Tab
A summary of project tasks is also visible on the Overview tab:
- Milestone tasks — shows a table of all milestone tasks with their status, assignee, and due date
- Assigned Tasks — shows a per-user breakdown of pending and completed tasks across all task types
