Project Documents
The Project Documents tab provides a centralized view of every document and link associated with your project - from the primary questionnaire to intake documents, task attachments, and submission materials. All project documents are stored here regardless of how they were added.
What Appears in Project Documents
Documents are automatically added to Project Documents from multiple sources:
- Primary document - the questionnaire or proposal uploaded or linked at project creation. Tagged as "Primary."
- Additional/intake documents - documents added during project creation as supporting context for AI Suggestions and the AI Summary
- Direct uploads - files uploaded directly to the Project Documents tab or Submission Package tab. Tagged as "Direct upload."
- Links - URLs added directly to the Project Documents tab or Submission Package tab
- Task attachments - files and links attached to project tasks (General, Milestone, or Document Submission tasks)
Document Table
Each document entry shows:
- Document - file name or URL, clickable to open. An external link icon appears next to linked documents.
- Submission package icon - indicates whether the document is included in the Submission Package (see below)
- Owner - the user who added the document
- Added on - the date the document was added
- Type - the source of the document (e.g., Primary, Direct upload). Task attachments and links may show blank.
- Actions - three-dot menu for per-document actions
Adding Documents
You can add documents directly to the Project Documents tab at any time:
- Click Upload documents to upload files from your computer
- Click Add link to paste a URL (e.g., a Google Drive or SharePoint link)
Filtering and Search
Use the Search bar to find documents by name. Use the Filter icon to filter by:
- Owner - filter by the user who added the document
- Added on - filter by date range
- Type - filter by document type (Primary, Direct upload, etc.)
Adding to Submission Package
Each document in the Project Documents tab has a submission package icon that controls whether it is included in the Submission Package:
- Purple outlined icon with "+" - document is not in the submission package. Click to add it.
- Green filled icon - document is in the submission package. Click to remove it (a confirmation will appear).
Removing a document from the submission package does not delete it - it remains available in Project Documents.
Submission Package
The Submission Package is the curated set of documents and links that form your final project submission. It brings together the primary document, supporting certifications, compliance reports, architecture diagrams, and any other materials required by the prospect - all in one place, ready to export.
What's in the Submission Package
Documents enter the Submission Package in the following ways:
- Primary document - always included by default, tagged as "Primary"
- Documents added directly - via the "Add document" button in the Submission Package tab
- Documents promoted from Project Documents - by clicking the submission package icon on any document in the Project Documents tab
- Documents attached to Document Submission tasks - can be toggled into the submission package from within the task detail panel
Document Table
Each entry shows:
- Document - file name or URL, clickable to open
- Owner - the user who added the document
- Added on - the date the document was added
- Actions - three-dot menu: Download, Remove (from submission package), Delete
Adding Documents
Click the Add document dropdown to add documents directly to the Submission Package:
- Upload document — upload a file from your computer
- Add link — paste a URL (e.g., a Google Drive or SharePoint link)
Documents added here are also stored in the Project Documents tab.
Bulk Actions
Select one or more documents using the checkboxes to access bulk actions:
- Remove — removes selected documents from the submission package (they remain in Project Documents)
- Download — downloads selected files
- Delete — permanently deletes selected documents
Removing a Document
To remove a document from the submission package, click the three-dot menu and select Remove, or use the bulk Remove action. A confirmation modal will appear:
"Removes the selected document from the submission package. It will still be available in Project documents."
Exporting the Submission Package
Click Export all to download the entire submission package. A confirmation modal explains what will be included:
- All uploaded documents and Google Drive / SharePoint files that SiftHub has access to are downloaded as a ZIP file
- All other links (e.g., external URLs) are included as a text file inside the ZIP
Click Export to proceed with the download.
