The Project Details page is your central hub for managing all aspects of a SiftHub project — from tracking document progress and managing tasks to reviewing the submission package and accessing AI-generated insights. Every project in SiftHub is organized around this page.
Accessing the Project Details Page
Navigate to Projects in the left navigation menu and click on any project name to open its details page.
Project Header
The header is persistent across all tabs and shows the most important project information at a glance:
- Project name — displayed prominently at the top
-
Status — dropdown to update the project's current stage. Available statuses:
- New
- In progress
- In review
- Completed
- Won / Lost (available once the project is Completed)
- Priority — the urgency level (Urgent, High, Medium, Low)
- Due date — the submission deadline
Project actions:
- Suggestions — opens the AI Suggestions panel to review, regenerate, or create tasks from AI-generated suggestions
- Collaborators — click to open the Collaborators modal to add or remove team members
- Project link — copies a direct link to this project
- Delete project — permanently deletes the project (confirmation required)
Project Tabs
The project is organized into five tabs:
Overview
The default tab when you open a project. Shows the Project summary, Primary Document, Section/Question progress, Milestone tasks, and Assigned tasks. See Project Overview for full details.
Submission Package
The curated set of documents and links that form your final submission package. Add documents, manage what's included, and export everything as a ZIP. See Submission Package for full details.
Tasks
A unified view of all project tasks - General, Milestone, Document Submission, Content Request, and Content Review. Create and manage project-level tasks and track all content assignments. See Project Tasks for full details.
Project Documents
All documents and links associated with the project in one place - intake documents, task attachments, direct uploads, and the primary document. See Project Documents for full details.
Linked Opportunity
If the project was initiated from a Salesforce opportunity, the associated opportunity details are shown here. If no opportunity is linked, an option to open Salesforce and link one is provided. See Raising a Project Request from Salesforce for details on how projects are linked to opportunities.
Project Details Panel
The right panel is persistent across all tabs and displays all project metadata. It is organized into two collapsible sections:
Project Details
- Account name
- Description
- Type (e.g. Security Questionnaire, RFP)
- Owner
- Delivery Manager
- Reviewer
- Clarifying questions date

Click any editable field to update it directly.
Additional Details (Custom Fields)
If your workspace has custom fields configured, they appear in this section - for example, GTM support name, Request type, Resulting award, or other fields specific to your organization. Changes made here are automatically reflected in the Salesforce card view if the project is linked to a Salesforce opportunity, and vice versa.
To configure custom fields for your workspace, contact your SiftHub Customer Success Manager.
Managing Collaborators
Click the collaborators count button in the top right of the header to open the Collaborators modal. From here you can:
- Search for users and teams to add as collaborators
- View all users currently with access and their roles
- Remove collaborators by clicking the X next to their name
Note: The Project Owner cannot be removed.
When adding a new collaborator, you will be asked whether to grant them editor access to the primary document.
AI Suggestions
Click the Suggestions button in the project header to open the AI Suggestions panel at any time. This panel shows:
- Milestones - suggested milestone tasks extracted from your project documents
- Required documents - mandatory document submissions identified from the RFP. Where SiftHub has found a matching document in your knowledge base, it will be suggested as an attachment.
- Recommended documents - value-add documents that can strengthen your submission
You can select or deselect individual suggestions and click Create tasks (N) to create all selected suggestions as project tasks.
If suggestions have already been accepted, click Regenerate in the top right of the panel to generate a fresh set of suggestions based on the current project documents.
For more details on how suggestions are generated, see AI Suggestions.
Project Status and Lifecycle
Use the Status dropdown in the project header to move the project through its lifecycle:
- New → project just created
- In Progress → active work ongoing
- In Review → under final review; assign a Reviewer who can review the primary document before submission
- Completed → project finished and submitted
When you mark a project as Completed, you will be prompted to save the primary document to your SiftHub Documents Repository for use in future responses. See Project Overview for full details on saving to repository.
Once Completed, you can further mark the project as Won or Lost to track your proposal outcomes.
Weekly Project Summary
SiftHub sends a Weekly Projects Summary notification every week with a snapshot of your 10 most urgent open projects. The summary includes:
- Project name and link
- Current status
- Due date (with overdue indicator)
- Completion percentage
- Number of pending questions
The summary is delivered via Slack (if your workspace has the SiftHub Slack integration enabled) and/or email. It includes a "View all open projects" button to navigate directly to your Projects list.
Weekly summary delivery is configurable. Contact your SiftHub Customer Success Manager to configure notification preferences for your workspace.
Deleting a Project
Click the delete icon in the project header to delete the project. A confirmation modal will appear before deletion.
Note: Deletion is permanent and cannot be undone.
