Users can create Q&As easily from the SiftHub Web App.
- Log into the SiftHub Web App
- Navigate to Repository > Q&As in the left navigation panel
- Click the Create Q&A button in the top right corner and start entering the details in the form.
Enter the core Q&A fields
Question: Enter the primary question text.
Alternative Question: Optionally, add one variation of the same question to improve matching and discoverability
Answer: Provide the detailed response. Use rich text formatting (Bold, Italic, Underline, Links) for better readability.
Smart Duplicate Detection
As you type your question, SiftHub's AI automatically checks for similar existing Q&As in your repository. If similar Q&As are found, a notification appears showing potentially duplicate entries:
"2 Q&As identified that might be similar to the one you are creating. Check them first to avoid duplication"
Each similar Q&A shows key information including:
- Question text
- Current status
- Owner and reviewer
- Last modified date
You can then
- Click on any similar Q&A to review it in detail
- Update an existing Q&A instead of creating a duplicate
- Proceed with creating a new Q&A if your question is sufficiently different
This smart detection helps maintain a clean repository by preventing duplicate content while making it easy to update existing Q&As when needed.
Enter metadata
Status:
Perhaps the most important metadata of the answer is the Status. Q&As can exist in 5 statuses:
- Draft (default): Initial state for new Q&As.
- In Review: Once the response is drafted, it can be moved to the 'In Review' status for a content review.
- Published: The reviewer would move the Q&A to the "Published" status once they are happy with the content. The Q&A then becomes approved for use in response generation
- Expired: Q&As for which the answer is outdated (such as after a new product release) should be moved to the Expired status, where they can be updated before Publishing again.
- Inactive: When the content of a Q&A becomes temporarily unavailable or is no longer relevant, it can be moved to the Inactive status.
Important Notes:
- Only Q&As in the Published status will be used as sources in generated / autofilled answers, AI Teammate conversations or search results in the SiftHub Platform.
- By default, only Admins have the permissions to publish or un-publish a Q&A. Member roles have to assign a Q&A to an Admin for review. This ensures that only vetted Q&As are published and available for use.
Stakeholders:
Owner: User in SiftHub who created the Q&A
Reviewer: The user in SiftHub who will review a Q&A that is in the In Review status, before publishing it. Only Admins or custom roles with review permissions can be assigned as a reviewer.
Organization:
Category: Select one or more relevant categories for the Q&A, such as Functional, Company Overview, Information Security, etc.
Industry: Select the applicable sectors for the Q&A, such as Financial Services, Healthcare, Manufacturing, etc.
Source Tags: Add tags to help categorize Q&As more efficiently. You can select from existing tags in the dropdown or create new ones as needed
Collections: Link the Q&A to one or more Collections for granular filtering during response generation
Q&A Origin Date: Specify the origin date to indicate when the Q&A pair was created. By default, this will match the date when the Q&A is added to SiftHub.
Note: Contact your Customer Success Manager to configure industries and categories for your account.
Save Q&A
- Click Create to save and return to Q&A list
Click Create and add another to save and start a new Q&A
Import Q&As
Instead of creating Q&As one at a time, you can bulk import Q&As from Excel spreadsheets or legacy platforms without hassle. SiftHub ensures that the data migration is seamless and all the important details are retained when importing the Q&As.
Steps:
- Request the Import Q&A template from your Customer Success Manager.
- Follow the instructions in the template and enter/paste your Q&As in the sheet row-wise (one row per Q&A).
- Submit the completed template to your Customer Success Manager
- Q&As will be available in your account within 24 hours
